With the OZG 2.0, the next stage in the digitalisation of public administration is now in the starting blocks. In addition to technological innovations, this also brings a clever tool that makes the transition to digital administration even more efficient and user-friendly: Federal Information Management (FIM).

The vision of the OZG 2.0

The original OZG set the framework for the digitalisation of administrative services. It obliged the federal government, federal states and local authorities to offer all services digitally via corresponding administrative portals by the end of 2022. Despite major progress, however, it became clear that realising the ambitious goals would require more time, an improved strategy and the right project management tools.

The OZG 2.0 addresses these weaknesses and adds new priorities to the previous goals:

  1. increasing efficiency: The further development of digital infrastructures will make administrative processes more efficient and user-friendly.
  2. expanding the range of services: In addition to the services already digitalised, further services are to be made available online.
  3. maximum security and data protection: As digitalisation increases, so does the importance of IT security and data protection, which are given even greater consideration in OZG 2.0.

The role of FIM in OZG 2.0

A central element of the OZG 2.0 is the Federal Information Management (FIM). FIM serves to develop and provide comprehensible citizen information, uniform data fields for forms and standardised processes for administrative services. With the help of FIM, the translation and implementation costs of legal requirements can be significantly reduced. To support the implementation of digital administrative processes, Conceptboard has developed a template for Federal Information Management together with Lindner Consult: the FIM template.

When should Wireframes be used?

Wireframes should be used in the early stages of creation to start the foundational structure and layout of what’s being build. In the following, you’ll find some scenarios where a Wireframe is helpful.

  • Kickoff your idea: Wireframes are the perfect tool at the beginning of a web design project. It functions as your starting point for planning, revaluation, and discussion. They set out a blueprint of the overall direction and visual representation of what is being build.
  • Communicate and Collaborate: Don’t know how to say it? Show it! Are you stuck at a certain point and don’t know, how to convey your message? Let others look over it. Visual collaboration is key. Wireframes act as a visual communication tool between designers, and everyone involved. They open the room for questions, discussions and gather feedback for what is missing. The fresher the eyes the better.
  • User Experience: Finding out how a new user would use your product can be tricky. While collaborating with Wireframes, designers can see how their prototype works on people who have never seen it before. This is great for feedback and rethinking steps before the product goes live.
  • Present to your clients: The days of a clunky PowerPoint are over. Show your clients step by step what they are looking at. The functionality of Wireframes can be used to greatly help to tell a visual story, so everyone can follow.

The Conceptboard Wireframe Template is the collaboration tool for designers and newbies to easily build a structure from nothing and create an intuitive draft fast.

  • Choose the right device for the Wireframe. Desktop, Laptop, Tablet or Smartphone. With the Conceptboard Wireframe Template, you can use the device and display size you and your team work with best, either for mobile apps or desktop websites. As a rule of thumb: The more complex your design, the better a bigger the screen functions. But this doesn’t mean you can’t collaborate on a smartphone, while others work from their laptop. We want you to collaborate, create, visualise and discuss to your heart’s content. Keep trying new devices until you find your perfect tool.
  • Make a list of all components you need for your draft. Before shopping, a shopping list helps you to keep track of what you must buy. The Wireframe Template is similar. As soon as your idea made it to the Wireframe, create a list of what you need to build it. Let others look over it and add things you might’ve forgotten. With experience, the list will be completed faster, and pit holes avoided.
  • Organise the components in each screen – resize elements if needed. Find a layout you and your team can work with. This is a flowing process. Shuffle what is on one screen if it doesn’t feel right, discuss the pros and cons of a design choice. Keep in mind that not everyone uses the same device you use. Resize elements to put a focus on them, make them easier to read, or give enough room for others to work in. Keep in mind that the UX is directly connected to how you choose to organise every component within the Wireframe Template.
  • Apply colour and change text to get a more realistic result. Things are looking good. You and your team are quite happy with what you achieved, but something feels off. Maybe add some colour or text to point out certain blocks based on priority. You know what you wanted to convey with your design, helps others to follow the same red string. To conclude, Wireframes focus on the project’s structure, content placement and functionality. They are not meant to be visually polished or detailed design ready for everyone to see. They are the perfect prototype. If you found a good one, you can use it for new projects and save a lot of time in the process.

We are constantly discovering new use cases and finding new, better processes – for example in our Human Resources Department. Nathalie Moeck, Head of HR at Conceptboard, tells you how especially internal onboarding has become much easier thanks to working with an online whiteboard.

New Work Means New HR

In order to be attractive for the best potentials and to gain them, HR Departments have to meet new requirements and change expectations regarding the New Work concept. The motto is: “Work anywhere, anytime”, the challenge “best of both worlds”. 

At Conceptboard everybody can work 100 % from home, no matter where home is for him or her. Especially since the pandemic, the working world has drastically changed in this aspect

Onboarding processes are a particular challenge. Even during their first days or weeks, many of our new colleagues work hybrid or even fully remote. During this time, it is critical to offer the colleagues quick and individual support. It is important to pick them up where they are and to accompany their progress.

Doing all this from a distance is not always easy. During the initial days, the new employees might feel uncomfortable asking questions they cannot ask from desk to desk.  In addition, it was initially difficult for me in HR to combine all the important documents and information in one place for new employees at home and on site.

Seemingly endless monologues and discussions without any results are often daily business. They are not only tiring, but can even be frustrating for the participants.

While sitting in a meeting, the actual work often needs to wait. Or even worse: At the end of the meeting, the to-do list is longer than before. According to a Microsoft study, the pandemic has increased the number of (virtual) meetings and calls by even 50 percent.

Actually, sending an invitation to an online meeting is so much easier than persuading someone to participate in any kind of in-person meeting. Consequently, each issue that needs to be clarified results in another appointment in your calendar. Here is where the 5 finger method can help!

Almost Nobody Improves Bad Meetings

As we obviously waste much valuable time in bad meetings, almost nobody has the capacity to improve the meeting or take a look at the meeting culture itself. Preparing and following up a meeting effectively, would be a first step in the right direction. Unfortunately, this is something almost nobody cares about. As a result, one bad meeting leads to another meeting which might be even worse.

How can meetings be structured better?

The new five finger template solves this problem by using five basic question categories that help you to structure your next meeting. The idea: preparing meetings easily and quickly while focusing on valuable results and productive exchange. If you apply this template correctly, you can reduce the duration and number of meetings and at the same time increase your meeting outcomes. Now you can really enjoy hybrid work.

Especially the question “How…?” shows that a meeting benefits enormously from being well-organized and from using simple moderation techniques. In unstructured meetings free speech is often the dominating method where the loudest or most extroverted person speaks. People often forget that it is really easy to get comprehensive meeting results by only doing some preparation work.

Try it in your next meeting and call one person after another. This enables everybody to articulate their thoughts on a topic in one or two sentences or a timebox of thirty seconds.

When do I use the 5 Finger method?

This template is useful for you if you have to run and frame meetings, for example as a manager, a team or project leader, an agile coach, a team member or as a moderator. You can our 5 finger method template it on your own or with your team and it works for all types of meetings: in-person, online or hybrid.

This Is How the Template 5 Finger Method Works

Start on the left side of the 5 finger template and answer the questions along the fingers to the right. Answer them in keywords on sticky notes. If you do this for the very first time, you can set up a timer for fifteen minutes directly on the board. Write your thoughts on each single question without thinking about it too long. Go through your sticky notes in a second round for the same duration (here: 15 minutes) and specify your answers.

Every answer is better than no answer, as most meetings are not prepared at all. So don’t struggle with yourself for the perfect solution and wording.

In the beginning, it might be unaccustomed, but in the course of time, you will get quicker in using the 5 finger method and a good preparation will eventually take you only about 5 minutes. This is because you are used to it and because you start thinking about the relevant questions.

(1) Category WHY

This category is about setting the meeting goals.

  • What is the purpose of the meeting? For example, there is a difficult issue XY with highly controversial opinions that are blocking progress.
  • What is meant to be different afterwards? For example, there is a common understanding of the problem XY, there are at least two appropriate solutions and there is a decision about which solution is to be realized when and by whom.

Do not be surprised if it is difficult to fill in this category at the beginning. For most of us, it is uncommon to think about meeting goals as they seem to be hard to grasp.

(2) Category WHAT

This is about choosing the relevant topics.

  • Which topics need to be worked on? Exchanging opinions on topic XY, developing solutions, making decisions on how to proceed, for example.
  • Which questions need to be clarified? For example, what is the biggest challenge regarding topic XY? How can you solve these challenges easily and specifically? What can you do to foster one of the identified solutions?

(3) Category WHO

Here you write down the names of expected attendees.

  • Who will participate? A list of expected participants or at least a number, for example.
  • How many and where? Essential information, especially for hybrid meetings. 10 participants in-person and 8 participants online, for example.

(4) Category WHEN

This is about setting the time, or more precisely, the date and time.

  • When will the meeting take place? For example, 10th February 2023, for example from 10:00 – 11:30.

(5) Category HOW

Here you have to decide upon the working methods and the tools in order to increase participation and to get comprehensive results.

  • How will you get together? Online via Teams, in-person in the meeting room 123. Hybrid via Teams in the meeting room 345, for example.
  • Which tools will be used? Conceptboard, Excel and OneNote, for example.
  • Which methods are helpful? Check-in, check-out, surveys, calls or a silent minute, for example.
  • How to document the results? Making notes during the meeting on Conceptboard, writing a report after the meeting in OneNote or collecting the results with a survey tool such as Google Forms.

Improving Meetings by Using a Simple Meeting Design

We have always recognized that some people do take their time to prepare meetings, but that this time is not spent effectively. This template is the result of our years of experience in the field of moderating and designing meetings and workshops. It helps you to concentrate on the most important things while preparing the meeting.

It is really essential to think about the five finger questions in advance. There is one big advantage: If you fix the answers on Conceptboard, they can be shown in the meeting. Besides that, you have a board where you can work on interactively.

At the same time, it is possible to send the boardlink with a specific task in advance. This enables the participants to collect ideas on the board before the actual meeting, so in the meeting you can immediately start with the discussion. Here you can also refine and vote the results, which is one of our favorite functions in Conceptboard.

By the way, collecting ideas and opinions on the board asynchronously is one of the most effective ways to save meeting time, as the background noise of the meeting often steers the concentration to specific points or issues. Ideas can develop without outside influences, which can be the basis for exchange. Being external moderators, we use this template almost daily, even when it comes to order clarification. This not only saves us time, but also creates common clarity about the goals and the proceeding regarding the following appointment. What is BPMN?

Business process modeling is a method of identifying, modeling, designing, and implementing business processes. Focusing on a complete process end-to-end, this method goes beyond basic task management.

Nowadays, BPMN – Business Process Modeling Notation – is one of the most used methods to visualize process workflows. As a language used across many organisations, BPMN has become a standard in the world of process documentation and can be understood by all of your business’ stakeholders.

In what situations should you use BPMN?

How to document a process with the BPMN template

Begin with pools and swimlanes

  • Pools represent the largest component of a BPMN diagram. They describe the entirety of a single business process from the perspective of one group of participants (e.g., a department or a single role, like a product owner).
  • Pools are then broken down into swimlanes. These represent specific groups or individuals that complete tasks within the larger pool. The illustration below shows a single swimlane of a BPMN pool.
  • Every BPMN diagram must contain at least one pool and one swimlane.

Flow elements

Flow elements are the geometric shapes that represent specific events and activities that occur within a pool.

  • Rectangular shapes are usually used to indicate activities within a process. Activities are separated into two main types: sub-processes and tasks.
    • Sub-processes are a collection of tasks that need to be completed for the process to be successful, but that you don’t want to focus on while mapping a particular process. Keep things simple here, as too many details will make the process more difficult to understand at first glance. 
    • A task is a basic building block of a process, which cannot be broken down into a lower level of detail.
  • Events are represented by circles. They impact the process and can be both internal or external.
    • There are three types of events: Start Events, Intermediate Events, and End Events. Some diagrams specify the trigger causing an event to happen.
  • Diamonds represent gateways. Gateways are responsible for controlling the outcome of the process and direct activities to either happen or not.

Connecting objects

Sequence flows connect flow elements within the same pool, though they can be in different swimlanes. They are depicted as a solid line with an arrowhead at one end. They show the order of different activities within the pool and are to be completed in the direction the arrow is pointing.

How to create a process with the BPMN template in 7 steps

Now that you have a good idea how BPMN works, go ahead and give the BPMN Template a try by following these 7 steps.

  1. Open the Conceptboard BPMN Template. Start by defining the process to document. Add this description to the pool name.
  2. Identify all stakeholders that will have an active role in this process – teams, individuals, suppliers, clients… Each stakeholder should have its own swimlane. To add more swimlanes to the doc, select a swimlane and make a new copy.
  3. Define all activities that will be included in the process. Use the sticky notes to quickly gather the relevant information
  4. Once the stakeholder list is ready, use the library included with the template and create a rectangle for each activity. 
  5. Define the events that will trigger the actions/activities. Use the library to communicate the type of event triggers.
  6. Place all events and activities on the correct swimlanes.
  7. Use arrows to connect events and activities.

What is the Priority Matrix?

The basic premise is that by analysing, then separating your tasks into four main quadrants filed under different areas of importance and urgency, it will allow you to plan your time better and reduce stress.

The Eisenhower Matrix

Quadrant 1: Urgent and important = Do First

The first square is for tasks and projects that are essential to your work or personal life. These are things that need to be done today or at the latest tomorrow and can’t be pushed back.

This might be replying to an important e-mail, finishing a presentation or report. Or in your private life, paying a bill or doing taxes. They’re things that will often have negative consequences, if they’re not finished on time.

Quadrant 2: Important, but not urgent = Do Later

The second quadrant is for tasks that are also important, but don’t need to be finished immediately. Therefore, you should schedule a dedicated time for them.

These tasks might include updating your website, meeting with a new supplier, or reading up on an important topic. These are usually important things for your long-term goals, but get swept aside, when something urgent comes up.

Quadrant 3: Urgent, but not important = Delegate

In the third square, you should list the things that are urgent, but not relevant and thus can be delegated. These activities might be more important to someone else than they are to you. So, make sure to ask yourself, if the task is important for you, or someone else?

These tasks could be delegated to someone else, or by enabling the requester to deal with the task themselves.

Quadrant 4: Neither urgent nor important = Eliminate

The final quadrant is for stuff that can be eliminated! These are things you shouldn’t be doing, maybe because they’re not in your scope, or because they’re time-wasting activities. By eliminating tasks that are big time wasters, your time management will become a lot easier.

How to put the Priority Matrix into practice?

Use this step-by-step guide to fill out your priority matrix:

  1. To get started, jot down all the tasks and projects you want or need to get done.
  2. Rate the activities based on their importance and urgency. You can rate them on a scale from 1-4 or use a scale of your choice, e.g. school grades or a 1-10 scale.
  3. Now it’s time to add the items to the matrix. Try to limit each quadrant to eight items, to keep it achievable. Remember, the goal here is accomplishment!

When you add tasks to Quadrant 2, make sure you schedule a time for them, and include that time to the task in your matrix. This will keep you accountable, and help you with your time management.

Idea prioritization template

Another prioritization matrix that helps you save time and effort is the Idea Prioritization template. It’s a great tool to identify which ideas or projects are the most worthy of attention, based on their overall feasibility and importance.

Using a simple matrix where feasibility of an idea is plotted along the x-axis, and level of importance is plotted along the y-axis enables you to visualize which ideas have the greatest chance of success, and which ones should be avoided.

In addition to managing a project pipeline, an Idea Prioritization template can also be used to prioritize wish-list items within a larger project. For example, when designing a new website, you might have collected a long list of wish-list items from numerous stakeholders and departments.

Take the guesswork out of it by plotting them all on the idea prioritization matrix, so you can clearly see which ideas you should focus on in stage 1 and which ones can be looked at down the track.

A guide to using an Idea Prioritization template

  • Gather your team remotely or in-person for a brainstorming session to generate new ideas. Write each action on a separate sticky note on the Idea Prioritization template. (Skip this step if you already have a long list of ideas or a project wishlist).
  • Sort through the ideas and filter any that are completely out of the scope of possibility or unsuitable.
    Combine similar ideas onto one sticky note, or group ideas that could combine into one general idea. (More information on how to use digital sticky notes.)
  • Ask for clarification from those who submitted the remaining ideas about what it would take to make each idea happen/come to fruition.
  • As a group, start plotting the ideas onto the chart by placing the sticky notes corresponding to their feasibility and importance.
  • At the top right-hand side of the chart, you will clearly be able to see which ideas you should prioritize based on their high importance and high feasibility.
  • To get things started, assign tasks to various group members and arrange a follow-up meeting to keep the momentum going.

How does it work?

  • Create a new blank board and write the trivia question in a text box.
  • If you’re using multiple choice questions, provide four possible answers and ask participants to place their colored dot next to the correct answer. Or just add True or False as text boxes to the board.
  • For extra difficulty, leave it open to and ask everyone to come up with the answers in a text box on the board.

Or, take it up a notch and create small teams to battle against each other. They can chat on your team channel, then submit answers on the board. Keep a weekly tally and award prizes at the end of the month or year.

When to use it?

This game is perfect for a Friday afternoon lunch trivia session! Divide the team into sub-teams for some fun, laughter and friendly competition!

How long does it take?

We recommend 10 trivia questions, which should take around 10–15 minutes.

6. Virtual scavenger hunt

How does it work?

  • The first person chooses their favorite icon from the icon cloud and copies it into the pink square. 
  • Everyone else has to race to be first to find the icon and circle it. Repeat until everyone has had a turn.  

When to use it?

Take a synchronized virtual coffee break with your colleague and try the virtual scavenger hunt. Two or three individuals can also play against each other simultaneously.  

How long does it take?

It should be super quick, so allow about 30 seconds per person.

The inner shell

The inner shell consists of four fields. The top two represent your external perspective (common goals), while the bottom two represent your internal perspective (common values). Once you have worked out the four areas, you can move on to the core and deal with the question of what purpose you are fulfilling as a team.

Start with the internal perspective; more specifically, your strengths and values. Let the following questions guide you: What makes your team special and unique? What shared competencies do you bring to the table? What are your values, which of them do you share and what do you stand for?

After the internal perspective, we continue directly with the external perspective. Now it is time to consider your stakeholders. Who do you work with? Who has an interest in your existence as a team? Then consider the question of what added value you generate for your respective stakeholders and where your contribution is greatest or most visible.

Your Purpose

Once you have fully grasped your internal perspective and external perspective, you can use this as a basis to define your purpose or function. Simply try to formulate a sentence from the internal and external perspective that summarizes what overarching contribution you make, for whom you do it, and what strengths you use to do it. This sentence should be your identity and orientation: a valuable contribution that leads to a strong impact.

The outer shell

Like the inner shell, the outer shell consists of four fields. Thematically, everything revolves around your cooperation in the team. Each of the fields refers to two elements from the inner shell, which form the basis for your descriptions. The following orientation questions should help guide you:

  1. People & roles (strengths and added values)
    What strengths do individuals bring to the team?
    In which roles can added value be generated in an optimal way?
  1. Self-organization (strengths and values)
    How do we strengthen and empower ourselves in the team and take on real responsibility?
    What rules and rituals help us achieve this?
  1. Effective work (added values and stakeholders).
    How do we set the right goals?
    How do we manage to generate added value in a focused and efficient way?
    What does our working environment look like in its optimal state?
  2. Communication & feedback (Stakeholders and values)
    How do we communicate with each other, and how do we create transparency within our team?
    How do we deal with, and resolve, tension?

The questions try to guide you to the relevant topics and challenges in your team. It is important that you consistently distinguish between the current state and the desired outcome.

During this process, you will notice that there is a lot of potential for you as a team. If the gap between today’s state and your ideal proves to be too large, focus on these particular issues and find approaches and ideas for improvement together!

Implement & Adapt

In order to ensure that the New Work Team Canvas is not simply hard work, but also sustainably filled with life, your team should talk about specific steps for the future. This is important so your ideas and considerations can be solidified. It is the only way to ensure that you do not lose sight of your ideal vision and that you continue moving a little closer to your ideal every day. The new year has begun, on New Year’s Eve you toasted to your friends and made the first resolutions around midnight. Doesn’t sound like you? To make it happen, we’ve created a new template. You can fill it in alone or together with your team to keep track of your or your team’s goals throughout the year. How does it work? It’s really simple, just keep reading.

Your agile annual planner

The Annual Planner wants to be a tool that helps you organize your 2025 in the best possible way. With its help, you can structure, time, and plan your upcoming goals and projects – keeping you in control before they start controlling you.   

On the upper left side of the template, you’ll find the instructions to help guide you. Whether you follow it or do your own is up to you! Templates are just that: templates. And templates live from being customized and adapted.

How does the Annual Planner Template work?

(1) In the lower left corner you will find the so-called Backlog. On sticky notes, collect here all the unfinished goals and projects of the past year that you want to take with you. And of course, all new goals for the year 2025.

(2) If you are working with your team, discuss the content of the sticky notes to make your goals realistic, but ambitious at the same time. Pro-tip: Be sure to use the timer in this case and agree on a time limit. You can find it at the bottom right of the screen behind the stopwatch icon.

(3) Once you have the wording, you can use the voting feature to rank by importance.

(4) For the distribution of the slips to the individual quarters, think about urgency and complexity, but also regarding feasibility. Try to set tasks with a high chance of success at the beginning of the year, so-called quick wins. But don’t hesitate to break complex goals into smaller milestones!

(5) Try to maintain clarity when prioritizing. Since especially substantial goals can’t be summarized in a few words, an area for detailed descriptions is prepared on the right side of the template.

If you studied economics, you have probably heard of it before. If not, here is a short summary.

What’s the difference between Red and Blue Oceans?

The red ocean represents all industries and markets that exist today. Red because the water is colored blood red by massive competition and constant predatory rivalry. As the market becomes denser, existing and new companies compete more fiercely with each other for the limited demand of their customers – which is divided among all existing suppliers. Competition increases and the prospects for profit and growth decrease.

The blue ocean on the other hand, encompasses all industries and markets that do not even exist today. Unknown, unexplored and untouched by competition, these blue oceans are waiting to be discovered. They are vast and deep, and thus offer endless possibilities and opportunities for growth. If one is discovered, a new demand can be created by tapping into a new market. The chances of growing quickly and profitably are consequently high.

The idea of the Blue Ocean Strategy Canvas is to be a tool for discovering these blue oceans.

When do I use the Blue Ocean Strategy Canvas?

To make it work, you need to evaluate and analyze the needs of your customers, your own performance and the performance of your competitors. This concept can help to find new and creative ways to combine different factors or make them comparable with each other. In this way, one’s own offer or idea can be optimized, completely realigned or even a completely new idea can be developed.

Thanks to the template, the current status of an already known market can be mapped. It thus shows the most important factors for which the respective industry competes strongly; the offers available to the customer; and the strategic profiles of these competing offers. When used correctly, the value curves can provide a new perspective on the existing market and help to highlight problems or market segments that have been neglected or not yet tapped. Developing and placing your own ideas in these niches can mean a shift away from existing red oceans to new blue ones.

The Blue Ocean Strategy is especially helpful for:

  • Market analysis
  • Product development
  • Brainstorming sessions
  • Thinking outside the box

How does the Blue Ocean Strategy template work?

On the horizontal axis, factors or attributes are mapped that are crucial for competition. These may include price level, quality, size, or customer service.

The vertical axis forms the rating scale, where the pre-determined factors are assigned to a score.

Above the canvas, a legend with the help of various lines and symbols records which competing products are compared with each other.

In the factor columns, the symbols are assigned to a score according to the legend. If the same symbols are then connected with each other, several value curves are created.

 

Use template

1. Identify the competition. The first step is to figure out who you want to compare yourself to. The obvious choice is your direct competitors in the industry. However, you can also focus on offerings from other industries that address the same customer needs. For example, if you are an automotive manufacturer, other automotive manufacturers would be the obvious choice. But you could also include a travel company that focuses on its customers’ need for customization and independence.

So, when identifying your competitors for the Strategy Canvas, it’s critical never to lose sight of the customer’s perspective: What customer needs do I want to focus on and who addresses them?

2. Determine the decisive factors of the market situation. In the second step, you choose the comparison factors. Creativity is required. Again, think from the customers’ perspective: What do they value most? What is important to them? Also, try to take the perspective of your competitors’ customers. The more factors that are considered, the more meaningful the template will be. Try to focus on the important and crucial factors. But think out-of-the-box as well!

3. Evaluate the competition with the help of the canvas scale. In the third step, be careful not to evaluate alone. Maybe you are evaluating in a very subjective way? Discuss within your team the different products and services. If possible, you can also include personal customer feedback or the results of customer surveys.

4. Find and define your own Blue Ocean Strategy. In the last step, focus on defining your own strategy. Consider and analyse the completed canvas and think about how you can differentiate yourself from existing offerings. Where can you be better than the competition? Where might it not be necessary to be better? Be open-minded about completely new business models. Find your niche, your own blue ocean!

1. Open the KWL chart template and start using it instantly in your classroom or workplace. The chart is divided into three columns, what I know, what I want to know, and what I learned.

2. Start at the KNOW column.

3. In the Want to Know column, create a list of questions covering what you want to know about this topic and add them as sticky notes on the board. If you get stuck, think about the Who, What, Where, Why, When and How of the topic.

4. Throughout the learning session, unit or reading activity, keep your questions from column two in the back of your mind.

5. Upon completion of the session, record the answers to your questions in the Learned column, as well as anything else you learned.

What is a value chain analysis diagram?

A value chain is the set of activities needed to produce and sell products.

Using Porter’s value chain diagram template to map this journey helps to visualize every link in a chain clearly. That way, it’s easy to identify roadblocks or inefficiencies along the product journey. In turn, managers are better able to find their competitive advantage. And along the way build better products and earn bigger profits.

What is competitive advantage?

“Competitive advantage cannot be understood by looking at a firm as a whole. It stems from the many discrete activities a firm performs in designing, producing, marketing, delivering and supporting its product.” – Michael Porter

Why perform a value chain analysis?

Performing a value chain analysis helps you improve operations, reduce costs and improve processes.  Ultimately, it can help you find your competitive advantage and edge out the competition.

Experts agree that it’s best to identity one competitive approach – cost or differentiation – and focus on that.

So as you are going through the process of mapping your value chain, consider which competitive advantage to pursue. That decision will help you identify areas for improvement, cost savings, or additional areas for expansion.

5 primary activities of a value chain

There are primary activities on Michael Porter’s value chain mapping template. While some may play a larger role within some businesses than others, they will all be present to some degree.

  1. Inbound logistics: this focuses on the raw materials purchased from suppliers.
    Activities include: material handling, warehousing, inventory control, vehicle scheduling and returns to suppliers.
  2. Operations: this is the process of turning the raw materials into products.
    Activities include machinery, packaging, assembly, equipment maintenance, testing, printing and facility operations.
  3. Outbound logistics: covers the process of getting the product to the customer.
    Activities include: finished goods warehousing, material handling, pick and pack, order processing and couriers.
  4. Marketing and sales: ensuring potential customers are aware of the product along the entire marketing funnel.
    Activities include: advertising, promotion, quoting, online content and pricing
  5. Service: once the sale is completed, after-sale services ensure that the customer is satisfied.
    Activities include: installation, repair, returns, training, spare parts and updates.

Each of these activities should be aiming to add value that exceeds the cost of conducting that activity, therefore generating a higher profit.

How to use a value chain mapping template

Completing a value chain mapping template is not a simple one-person job. Encourage cross-collaboration by inviting various departments to join and outline their logistics, operational costs and activities. Best of all, everyone can collaborate in real-time on Conceptboard.

To help us look at the bigger picture, we can use Mintzberg’s 5Ps of strategy planning. 

What are the Mintzberg’s 5Ps of strategy planning?

Mintzberg’s 5Ps of strategy planning is a framework invented by management expert Henry Mintzberg to help businesses create a well-rounded product strategy. The 5 P’s each stand for a different strategic approach: 

  • Plan
  • Ploy
  • Pattern
  • Position
  • Perspective

Let’s take a deeper look at these five different approaches to developing a strategy.

What are the sections of Mintzberg’s 5Ps of strategy?

Plan

Making a plan is something that comes naturally to us. This is the default approach for many businesses, and there are many great resources out there to help you with brainstorming. 

Example: Holding a brainstorming session, picking the best ideas and making a go-to-market plan.

Ploy

The second strategic choice involves a ploy that outsmarts the competition and delights customers. This is a tactic that can be used to influence the behavior and reaction of others in the market. The Ansoff Matrix can help you identify gaps in the market. 

Example: A grocery chain might threaten to open a new store so that a competitor doesn’t move into the same area.

Pattern

Take advantage of patterns that have been implemented before and have achieved the desired result. Instead of reinventing the wheel, this approach allows you to develop a strategy quickly using tried and true methods. 

When it comes to strategic planning, being aware of these patterns, both intentional and unintentional, allows you to use them to strengthen your plans.

Example: Continually hiring staff who have a background in customer service will automatically lead to a stronger customer service division

Position

This approach looks at your position within the marketplace and how you want to position yourself. Identifying your competitive advantage helps you to make decisions that support your place in the market.

The product positioning map is a great tool to help you understand your position in the market.

Example: You might want to develop a low-cost option to our price competitors.

Perspective

While an organization may have a clear idea about what they represent, it’s important to also know how your target audience perceives you. Similarly, how do your employees and stakeholders see you? Not sure? Try the perceptual map template to visualize these perspectives.

Taking this approach will help to make strategic choices that support or improve these views. 

Example: An organization that encourages intrapreneurship and innovation might utilize this culture to focus on building innovative products

How to create a Mintzberg’s 5Ps strategy framework

Strategies can be time-consuming to develop, deliver, implement, monitor and improve. Therefore, using a simple template such as the 5P’s can simplify and accelerate the process for your team.

 

  1. Open up the template and invite your team to join a collaborative strategic planning session on Conceptboard.
  2. Work your way through each of the five sections, starting with the plan.

What are the components of a service blueprint template?

Customer actions

These are all the steps, decisions and interactions your customer makes from awareness through to purchase. Completing a customer journey map first will provide you with a complete list of customer actions for this section.

Onstage actions

Every interaction a customer has with a real person, or online service, is considered the front of house. So, this would include chatting with a salesperson in-store as well as interacting with a chatbot or customer service rep online.

Backstage actions

Any action that is performed for the benefit of the customer, but out of sight, is considered back of house. These actions may include an item being picked and packed in a warehouse, or a refund being processed in the system.

Support processes

Processes are normally things that benefit or help the employee complete their job. These processes range from pricing through to inventory levels.
