With around 11,000 employees, LBBW is Germany’s largest state bank and enables location-independent working. Like many other companies, the bank was faced with the challenge of how teams could work on joint tasks across different locations and in a virtual space: ‘We had various applications for collaborative working, but we wanted to focus on a central tool. Our focus was primarily on the joint development of concepts and the organisation of purely virtual and hybrid meetings and workshops. It was also important for us to integrate central functions such as a Kanban board,’ summarises Rüdiger Kinzel, one of over 30 Agile Coaches at the bank. In addition to the technical requirements, it was particularly important that the tool fulfils the bank’s strict security standards and is accessible without barriers.

Even before the Covid pandemic and the associated widespread transition to home offices, our client in the technology sector was interested in the attractive opportunities that Visual Collaboration brought. As part of an innovation programme, teams were to find solutions to challenges of digitisation. The vision: As a service provider in the office communication sector, to be a driver of innovation for the paperless office in the future and to develop new initiatives in this direction – both for our own employees and for customers. Requirements for the “Connected Workspace”

Within the programme, an internal team was tasked with creating a platform for hybrid collaboration and looked for corresponding solutions. The goal was to find a “Connected Workspace” and to integrate it sensibly into the company. The requirements for the future tool: The “Connected Workspace” should be shareable with everyone and have a comment function as well as a moderation option.

The choice quickly fell on Conceptboard because it enables easy, intuitive, and location-independent collaboration on joint projects. In addition, the tool is GDPR-compliant and secured with state-of-the-art encryption. Thanks to the Enterprise-Ready approach, Conceptboard can be used immediately. Our solution was able to prevail over two other tools and was initially used at our client’s company for training, onboarding, and training purposes, to explain in a graphical way how internal processes work.

For our client, the following aspects were particularly important in choosing the tool:

The Visual Collaboration solution should be seamlessly integrated into our client’s everyday work. Several functions were crucial for this: document sharing, collaborative and password-protected work on the board with internal and external employees, comments, and task assignment. In addition, Conceptboard’s high interoperability with other solutions such as Microsoft Outlook, Teams, and Trello convinced. The Single Sign-On (SSO) also simplifies the login process, allowing employees to start working without detours.

Intuitive application

Since our Visual Collaboration Tool was to have an even wider range of uses at our client’s company later on, it had to be quick to understand and easy to use, while at the same time incorporating all the necessary functions.

Conceptboard was able to prevail in all criteria in the competition and was particularly popular among employees: After only three months of testing, our client decided on a permanent cooperation – which continues to this day.

High GDPR compliance through a provider from the EU

Protecting personal data is of central importance to our client. This should also be reflected in the future Visual Collaboration Tool. To keep data safe from unauthorized access, the future provider should have its headquarters in the EU. Conceptboard was able to convince here through ISO 27001 certification, its headquarters in Germany, and hosting in German data centres.

Conceptboard seamlessly integrates into the organisational structure

The employees who worked with Conceptboard were consistently enthusiastic. Experienced employees in particular recognized the diverse application possibilities of the tool and began to use it for various purposes. In order to also get all other employees on board and familiarize them with the tool, a short tutorial on the basics of Conceptboard preceded each workshop. This approach has proven successful and enables all employees to use the tool smoothly.

The advantages of the solution are particularly evident in location- and time-independent collaboration. The majority of employees continue to work from home. Conceptboard allows them to work together efficiently and creatively despite spatial and temporal differences. In the first year alone, Conceptboard’s usage increased by 600%, from 50 to over 330 users.

One important tool among the agile methodologies for Hanseatic Bank is Design Thinking. Design Thinking is an innovative and creative process aimed at putting customer needs at the forefront. This approach enables the development of innovative solutions to problems and the offering of products or services tailored precisely to the desires and requirements of the target audience. Consequently, and due to collaboration in cross-functional teams, as is the case at Hanseatic Bank, the likelihood of success for new ideas significantly increases. The method of Design Thinking is implemented in the form of Design Sprints. Comprising six phases, the ideal outcome of a Design Sprint is a tangible representation of an idea, commonly referred to as a prototype.

Successfully Conducting Design Sprints in a Hybrid Work Environment

Amid the challenges of remote work and the limitations imposed by the Covid-19 pandemic, Claudia Andresen, Agile Coach at Hanseatic Bank, faced the task of guiding a cross-functional team in developing a prototype for a new product. The challenge was to find a solution to overcome the spatial barriers between participants while creating a lively, creative, and interactive atmosphere for the Design Sprint.

How does a Design Sprint work?

A Design Sprint consists of six phases: understanding the problem, building empathy towards customer needs, synthesising all gathered information, and developing ideas based on these insights. In the fifth step, a prototype is created – a tangible representation of the idea – to gather feedback from potential users in the final step.

What is Prototyping?

Prototyping is a particularly important phase in the Design Sprint. By creating a prototype, an idea can be quickly visualised, making it easy to understand. Various forms of prototypes can be used, from tangible prototypes made of materials like clay or Lego to digital representations using mock-ups or websites. After completion, the prototype is presented to the target audience, and their feedback is collected. At the end of the Design Sprint, there is a validated prototype that serves as a solid foundation for further product or service development.

Federal capitals have a hard time here: Not only do they have to manage the lives of their residents, but also serve as a role model for their entire state. Complicated structures, outdated processes and a lack of understanding make a digital revolution in the public sector difficult. Few municipalities successfully address this issue. One of them is the City of Kiel, Germany’s northernmost state capital. As a visual collaboration platform, Conceptboard is part of their digital strategy called Ki:GO for modernising administration and actively shaping the digital transformation process. 

Project “digital workplace”

With the Ki:GO strategy, the city of Kiel aims to shape the digital transformation towards a modern administration and prepare the city for the future in the best possible way. The specific goal of this movement is to provide employees with a “digital workplace” that enables various work models, particularly remote work. Ki:GO involves the employees of the municipal administration in the journey of a lasting digital change.

Digital transformation occurs in various disciplines, one of which is visual collaboration in times of hybrid workplaces and connected structures. In search of digital tools with diverse functionalities for decentralised collaboration, the city sought solutions. “The Ki:GO movement strongly emphasises competency development and aims to positively change the attitude of employees towards new digital applications. Therefore, new programs should be particularly user-friendly and easy to learn,” explains Franziska Rimmele, who, as a Digital Coach, enables and supports employees in a practical manner as part of the movement.

Conceptboard as foundation for digital collaboration

To establish the foundation for the digital workplace, the city decided to implement an online whiteboard, Conceptboard, where projects can be planned and worked on conveniently, regardless of time and location. In addition to promoting remote work, an online whiteboard aligned with the goal of introducing new agile methods such as SCRUM. Conceptboard has become the tool of choice for these associated plans. It was important that employees could directly share documents, assign tasks, and provide comments within the tool. Conceptboard fulfilled all these requirements and, furthermore, was the only visual collaboration application compatible with the touch functionality of the Promethean smart boards used by the city of Kiel.

In the public sector, there are particularly high requirements for software procurement. To protect sensitive data, standards for data privacy and security are strictly regulated. In a short period of time, Conceptboard has become an integral part of the workflows at the municipal authority, being used across departments for various tasks. It is also employed in content creation for e-learning, such as developing worksheets and other materials.

“With the introduction of Conceptboard, we have taken a significant step towards achieving our goals for the Ki:GO movement: participation, self-learning, and new non-hierarchical forms of work,” summarise Jesko Zychski and Birte Rassmus, who, as change managers, drive the Ki:GO movement in Kiel. “Through this new form of communication and collaboration, we can advance the digitalization of administration both internally and together with the people of Kiel in an interactive and efficient manner, thereby developing new digital services for our citizens.”

The City of Kiel benefits from the numerous pre-built templates available in German and the continuous development and integration of new templates, widgets, and interfaces with other IT programs. They make use of the integration options for their own intranet, self-learning environments, or the chat program Mattermost. This makes it even easier to share and locate created boards.

We are constantly discovering new use cases and finding new, better processes – for example in our Human Resources Department. Nathalie Moeck, Head of HR at Conceptboard, tells you how especially internal onboarding has become much easier thanks to working with an online whiteboard.

New Work Means New HR

In order to be attractive for the best potentials and to gain them, HR Departments have to meet new requirements and change expectations regarding the New Work concept. The motto is: “Work anywhere, anytime”, the challenge “best of both worlds”.

Onboarding processes are a particular challenge. Even during their first days or weeks, many of our new colleagues work hybrid or even fully remote. Doing all this from a distance is not always easy. This way, we don’t have a lot of individual presentations from the teams, but rather one big picture, which makes it easier for new employees in particular to get an overview of topics that are important at the moment.

The introduction of a new tool can pose major challenges for an internationally operating company like KfW. The employees must be trained and an acceptance for the new tool has to be created. Kristian Schneider, design thinking and innovation coach at KfW, told us in an interview how this process can be designed in large companies.

The introduction of a new tool at KfW

At the end of 2020, KfW began introducing Conceptboard. The goal was to make everyday work easier for their employees and to promote digital collaboration.

As a coach, Kristian was part of the cross-professional cooperation that accompanied the introduction of Conceptboard. After their own intensive familiarization with Conceptboard with the help of our support materials, an interdisciplinary team developed concepts to quickly introduce employees to Conceptboard.

We asked ourselves: How can we introduce Conceptboard at KfW in such a way that as many people as possible can understand and use it quickly?

A beginner and advanced training was offered, as well as a weekly “question hour”.
The beginner training starts with an introduction to the basic functionalities. With simple exercises, even technically unaffiliated people become familiarized with the work and the possibilities in Conceptboard. In the initially weekly question hour, employees also had the opportunity to ask open questions and clarify problems quickly and easily. In addition, video material and a user guide for “self-learning” were created.

After a few months, the offer was largely discontinued, as the demand became less and less. Today, the training courses are only held on request, as colleagues are usually very good at helping each other and exchanging information on the possibilities offered by Conceptboard.

A lot of work has gone into creating the training courses so that as many employees as possible can use Conceptboard successfully and benefit from the new tool in their day-to-day work.

The international locations also became aware of the use of Conceptboard and got offered English trainings.

From the beginning, the acceptance of Conceptboard was very high at KfW. Due to the intuitive user guidance in Conceptboard, the introduction to the new tool is usually completed quickly. It is the first collaboration tool to be used throughout the company.

The spectrum of areas of application is huge. Kristian himself uses Conceptboard in training sessions, synchronous and asynchronous retrospectives or design thinking workshops, among other things. He is also using Conceptboard for task organization to keep an overview of open To Dos.

For me, Conceptboard has replaced everything else.
